Since launching WasteLinks, one type of user has emerged consistently with needs that go well beyond what a standard customer account provides. Waste brokers, facilities management companies, housing associations, commercial property managers, and multi-site businesses all share a common challenge: they do not book waste services occasionally — they book them regularly, across multiple sites, often on behalf of clients or tenants, and with complex reporting and compliance requirements attached.

For these users, a standard WasteLinks account works well for smaller or one-off jobs. But it does not yet match the scale, complexity, or operational requirements of how these organisations manage waste professionally.

That is about to change. WasteLinks Trade Accounts are in active development, and this post covers everything we are building, who it is designed for, and how to register your interest for early access.

Who Are Trade Accounts Designed For?

Trade Accounts are being built for organisations that procure, manage, or oversee waste services at scale. This includes:

Waste Brokers — businesses that procure waste management services on behalf of their clients across multiple sites, service types, and vendors. Brokers need to manage multiple client accounts from a single platform with separate cost tracking, compliance documentation, and invoicing per client.

Facilities Management Companies — FM operators managing office blocks, business parks, retail estates, or mixed-use developments who need regular, reliable waste collections across dozens of locations with centralised billing and consolidated compliance records.

Housing Associations and Social Landlords — organisations managing waste services across housing estates, communal properties, and managed developments, often with different contractors serving different schemes.

Multi-Site Retail and Hospitality Groups — restaurant chains, hotel groups, and retail operators with locations spread across multiple regions who need consistent, compliant waste management at every site, centrally managed.

Property Management Companies — agents managing commercial and residential properties on behalf of landlords, responsible for arranging and evidencing compliant waste services as part of their service obligation.

Construction and Groundworks Contractors — managing multiple live sites simultaneously, with different waste streams, different disposal requirements, and the need to track waste costs and compliance by project.

What Trade Accounts Will Include

Multi-Site Management Dashboard

The centrepiece of WasteLinks Trade Accounts is a unified multi-site dashboard. Rather than managing separate individual accounts for each location, trade account holders will see all their sites in one place — active bookings, scheduled collections, job history, spend, and compliance status — organised by site, region, client, or any custom grouping that matches your operational structure.

This gives procurement managers, operations directors, and facilities teams a complete, real-time picture of waste activity across their entire portfolio from a single login.

Team Access Controls With Role-Based Permissions

Trade accounts will support multiple users with configurable permission levels tailored to different roles within your organisation:

  • Account administrator — full access to all sites, bookings, invoicing, vendors, and settings
  • Site manager — can manage bookings and view history for their assigned sites only
  • Finance user — read-only access to invoices, payment history, and spend reports without booking capability
  • View-only — access to job history, booking records, and compliance documentation without the ability to make changes

This removes the friction of sharing login credentials across a team while giving each person exactly the access they need for their role.

Consolidated Monthly Invoicing

Instead of individual Stripe charges per booking, trade account holders can opt for consolidated monthly invoicing. All bookings made during the calendar month are grouped into a single itemised invoice, issued on the first of the following month, payable on 30-day terms.

This aligns with the accounts payable processes of larger organisations — eliminating the friction of dozens of individual card charges appearing across multiple cost centres and simplifying the reconciliation process for finance teams.

Monthly invoicing will be subject to a straightforward credit assessment for new trade accounts.

Preferred Vendor Agreements and Negotiated Rates

Many larger organisations already have existing relationships and negotiated rates with specific waste carriers. WasteLinks Trade Accounts will allow these agreements to be formalised on the platform — linking your account to preferred vendors and ensuring their services and your agreed rates appear first in search results when your team books.

For waste carriers, preferred vendor status with a trade account holder represents stable, recurring revenue from an organisation that values the relationship. Both sides benefit from formalising what is currently managed informally.

Spend Analytics and Reporting

Trade account holders will have access to detailed spend analytics covering total spend by site, client, waste stream, or vendor across any date range, volume and frequency of collections by service category, cost per tonne or per collection for benchmarking and budget management, and waste diversion metrics for organisations with ESG reporting obligations.

Reports will be exportable in CSV and PDF formats, ready for integration into internal management reporting and board packs.

Consolidated Duty-of-Care Compliance Reporting

Duty-of-care documentation across an entire portfolio, in one place. Trade account holders will be able to generate consolidated compliance reports covering all bookings across all sites — essential for ISO 14001 environmental management audits, Environment Agency inspections, and client-facing compliance evidence.

Individual booking records, carrier credentials, and disposal documentation will all be included, exportable in bulk for any defined time period.

When Is It Coming?

WasteLinks Trade Accounts are planned for release later this year. Early access customers will receive access to the beta version before public release, have direct input into the features and workflows being built, and benefit from early-adopter pricing locked in at launch rates.
